Position purpose
The Associate Director and Academic Coach in the graduate school is responsible for 1) supporting the Dean in administering graduate education at NCU through strategic planning, programming coordination and monitoring, policy development, implementation of new and ongoing initiatives, and faculty onboarding and support; and 2) onboarding, advising, and coaching graduate school students as they progress through the program.
Job Duties and Responsibilities
(90%) Administration and Academic Coaching
Prepare materials and facilitate communication for new student onboarding and orientation; plan and execute graduate and partner graduate online orientations; engage prospective and new graduate students, advising on course sequencing and planning, finding information, accessing Courses, Skyline, Colleague, etc.
Support the Dean in creating/implementing new graduate programs; representing the graduate school on committees as needed; developing policy and maintaining the graduate school catalog and student handbook; and ensuring all internal and external facing graduate school information and marketing materials are current
Coordinate course rotations and assignments of faculty; work with the Dean and the Director of the MABT program to hire and onboard adjuncts; and communicate with adjuncts, directors
Coordinate and execute various program deliverables such as approvals, continuations, payments, etc.; communicate with graduate students as needed
Assemble semester and two-year alignments; coordinate graduate registration with Registrar’s offices; send timely student notices regarding registration and additional pertinent graduate information; assist students with registration
Maintain and improve graduate processes according to best practices, in collaboration with Enrollment, Student Financial Services, Registrar’s and other NCU offices
Collaborate with Admissions/Enrollment to prepare and complete retention and assessment initiatives; collaborate with the Dean and Associate Vice President of Academic Affairs to complete program assessment and review
Support the Dean, when needed, to represent graduate studies during internal and external recruitment events, (ex: graduate expos, local and regional events)
Support the Executive Director of Academic Partners (ex: Jakes Divinity School) to maintain partnerships, set alignments, onboarding faculty, settle payments, onboarding new students, provide advising and ongoing support
Other duties as assigned by the Dean
(<5%) Onboard new faculty in Graduate and Professional Education
Process paperwork for new full-time and adjunct faculty in accordance with proper university procedures – including basic training, gathering of ID, keys, access to Moodle, textbooks, office information
(<5%) Plan and execute events for the College of Graduate and Professional Education
Host and attend Graduate Studies annual student and faculty events and semester orientations
Help organize and direct Graduate Hooding Ceremony annually in conjunction with the Dean, Alumni and Registrar’s offices, including logistics, reception, and communication to faculty, administration and student
Attend commencement as a representative of the graduate school
Travel as needed for conferences to represent CGPE and NCU
Qualifications
Minimum Education and experience
Bachelor’s degree with previous experience in higher education administration required. Master’s degree preferred or considerable graduate-level course experience (a Master’s degree qualifies for potential Director position).

Understanding of university academic policies and procedures
Ability to initiate, communicate and follow-up effectively and expediently, both verbally and in writing to ensure shared understanding of information
Ability to prioritize and organize incoming tasks and projects; manage time efficiently
Ability to develop and maintain professional relationships and boundaries
Ability to delegate and supervise others
Ability to navigate several software systems and platforms to complete key tasks and serve faculty and students
Knowledge of online learning and approaches to supporting the academic progress of graduate learners

- Exposure to repetitive motion of the fingers, hands and wrists on a daily basis
- Work is performed in a Christ-centered urban environment
Equipment and Tools:
Use of a PC and telephone and other such tools approximately 85% of the workday
